As your partner ecosystem grows, it becomes important to have a more organized way of handling Partner Relationship Management.
Dynamics 365 provides a strong foundation, but PRM processes often exceed the capabilities of standard CRM. These include Partner Acquisition, Partner Onboarding, Channel Marketing, MDF management, co-selling, deal registration, and partner-driven after-sales.
This means every organization has to figure out the right level of PRM integration with Dynamics 365 and decide which approach makes the most sense for them.
PRM in Dynamics 365 Sales and Power Platform
The optimal PRM architecture depends on:
- Is the partner channel (PRM) the only business development channel, or an additional one alongside direct sales (which requires CRM)? If direct sales is not being developed, the basic functionality of D365 Sales can be adapted to PRM requirements.
- Size of the Partner Channel: up to a certain size of the partner network, regardless of the complexity of processes, it is possible to manage the partner channel without specialized tools. Excel spreadsheets, standard communication, and document exchange via email are usually sufficient to collaborate effectively with a group of up to 20–30 Partners.
- Scope of PRM processes: when the number of Partners grows — and especially when the scope of cooperation with each Partner expands — the use of a specialized tool may become necessary, leading to improved achievement of the goals for which the Partner Program was established.
Three approaches to PRM in the Dynamics ecosystem
1. Integrating a dedicated PRM platform (stand-alone)
Stand-alone PRM platforms available on the market must be integrated with Dynamics 365 Sales (or other CRMs), which creates challenges not present when PRM operates directly in the Dynamics 365 ecosystem.
A separate PRM means maintaining and developing two platforms, and users often need to work in both, using similar functions on partially synchronized data.
Due to different platform logic, processes such as tasks, notifications, alerts, and reporting cannot be fully unified, leading to inconsistent data and slower collaboration between PRM, direct sales, Customer Success, Product, Marketing, and RevOps teams.
Two systems also mean two sources of truth — even with broad integration, it cannot match the full alignment of objects, activities, automation, and workflows available when CRM and PRM run within a single Dynamics 365 environment.
2. Building PRM capabilities directly in Dynamics 365
The Microsoft Dynamics 365 platform, combined with PowerApps and Power Platform automation, offers a strong foundation for developing and managing a Partner Channel.
A major advantage of using Dynamics 365 for PRM is the ability to manage all sales and business development channels within one environment. CRM and PRM processes, shared data in Dataverse, and unified reporting in Power BI enable consistent processes, metrics, and visibility across teams without relying on externally integrated tools.
The main challenge of this approach is the need to build a PRM solution from the ground up, which can be time-consuming, require architectural expertise, and involve ongoing support from D365 specialists.
Depending on PRM requirements, possible implementation models include:
configuring standard Dynamics 365 Sales using Contact, Lead, Account, and Opportunity
extending Sales with new entities such as Potential Partner and Partner
building a Partner Portal using Power Pages or similar technologies
3. Using ISV-based PRM solutions built on Dynamics 365
An alternative to building custom configurations and modifications in Dynamics 365 is implementing ready-made solutions based on Dynamics 365 and PowerApps models.
Main advantages of using ready-made solutions (ISVs for Dynamics 365, such as the Power PRM solution):
- They provide a set of configurations and modifications that can be quickly deployed in the Client’s Dynamics 365 environment and further adapted to specific needs (approximately 80% of the functionality is open for additional configuration by the Client, while 20% forms the “core” that ensures internal solution integrity and product development aligned with the roadmap).
- They offer a ready-to-use solution (with the ability to extend and configure), which significantly shortens implementation time and reduces project risks associated with requirements analysis and prototype validation.
- They provide a predefined set of PRM processes based on best practices and adoption patterns within the Dynamics 365 ecosystem. The PowerPRM product roadmap delivers new capabilities based on real PRM user needs and incorporates them into the platform standard.
- Although Power Pages is flexible and scalable, it may not meet specific business requirements or allow rapid adaptation of the Portal to new needs. Summary
You can choose one of three PRM models:
- Lightweight PRM via D365 configuration (for small programs)
- Stand-alone PRM when deep D365 integration is not required
- Integrated PRM based on Dynamics 365 (custom or ISV) for mature, large-scale partner ecosystems
The best choice depends on the needed depth of CRM integration, partner program complexity, and operational scale.
